Knowing in brief : How To Apostille Documents in the UK

Importance of an Apostille

In today’s environment, commerce has advanced dramatically and spread around the globe. It has become easier to reach potential consumers anywhere in the world thanks to its vast network and global presence. While things have become more accessible, collaborating with millions of individuals still poses several challenges. For example, ensuring and verifying organizational archives necessitates significant effort. Because you must confirm your credentials while travelling outside of your country or moving abroad to do business internationally.

For Indian citizens, an apostille from institutions in the United Kingdom is necessary when one has done a job, professional course, or has completed a degree from an educational institution based in the UK. For applying to jobs outside India, one would need an apostille from the concerned institution for legitimization and legalization.

Alongside employment, individuals travel to various locations for different reasons, such as tourism or higher education. If anyone wants to switch to a new place, there is a lot of paperwork required. All original documents must be converted into a language commonly comprehended by the target country, which an authorized firm must do to preserve the document’s legitimacy. Public documents such as birth certificates, duplicate identification cards, judgements, licences, or notarization authentications of trademarks may be used as proof of authenticity in other countries. However, an archive provided by an unknown country must be authenticated before being used or accepted by the government by the individual who wishes to travel.

Validation of reports is usually completed through legitimization. The country’s authorities where the record was submitted and the foreign Embassy or Consulate of the country where the archives will have to be delivered confirm the archives. Several countries have signed the Hague Convention. Apostille makes verifying public documents easy.

The Hague Convention

The Hague Conference’s Apostille Treaty specifies how a report issued in one of the contractual states can be certified for lawful purposes in a wide range of contracting governments. An apostille is a form of certification issued following the rules of the convention.

A report must first be given or affirmed by an authority recognized by the institution that will grant the apostille to be competent for an apostille. If the show applies between two countries, an apostille is sufficient to authenticate a document’s legality and avoids the need for two-step accreditation, first by the originating government and then by the receiving country.

Process of Getting an apostille in the UK

While many people think that the process of getting an apostille or any government legalization is a very harrowing and complicated one, this is not true in the United Kingdom. The UK has one of the most straightforward processes of getting an apostille, including just four main steps!

  1. The UK provides a decentralized apostille service for its applicants. The first steps involve heading to the country’s official apostille website, apostille.org.uk, where a list of registered FCDO services is provided. Then, the applicant has to select the relevant FCDO service and order apostille. Please ensure all details and documents are correctly provided.
  2. Posting the documents. After the applicant has completed the apostille order, they have to post the documents required for the apostille and the order number to the relevant institution. You can complete the entire process sitting in comfort at your home if you access all the relevant documents.
  3. An apostille is usually legalized in the UK in almost 1-2 days, and while this process is quick and efficient, it does not contain the time taken in postage. The UK Legalisation Office states that the standard processing time is 10-15 days, and it may take longer if an applicant’s documents need signatures verified.
  4. The complete apostilled documents are returned by post to the applicant by the Legalisation Office or through the registered FCDO service chosen by the applicant.
Things to Remember While Applying For Apostille

  • You can get certain official UK documents ‘legalized’ by asking the Legalisation Office to confirm that the signature, stamp or seal is from a UK public official.
  • You might need to do this if an official in another country has asked you to provide a UK document and said it must be legalized.
  • The Legalisation Office will check the document, including whether the signature, stamp or seal is genuine. They’ll legalize the document by attaching a stamped official certificate (an ‘apostille’).
  • You cannot get documents issued outside the UK legalized using this service – get them legalized in the country they were issued.
  • The Legalisation Office of the UK provides the following courier costs involved in posting the documents for apostille directly to the Legalisation Office.
